Using AI to Monitor Stock and Products

AI6 min readBy Team

If you sell or stock physical products, someone is probably checking numbers by hand: what is left, what is late, what changed price. That work is slow and easy to miss. Monitoring tools can watch these things all day and tell you only when something needs a decision. This article explains what that looks like and where AI actually fits.

What you can watch

  • Stock levels against how fast items usually sell, so you reorder before running out.
  • Supplier prices and lead times, so you notice a jump before it hits your margin.
  • Your own product listings: missing photos, wrong prices, items shown as in stock that are not.
  • Competitor or marketplace prices, where it is allowed and useful.
  • Delivery status, so late shipments are flagged to you instead of found by a customer.

Not every business needs all of these. Pick the one that costs you the most when it goes wrong.

Where AI helps and where it does not

A lot of monitoring is simple rules: tell me when stock falls below ten. That does not need AI. AI helps when the signal is messier. Reading supplier emails and PDFs to pull out new prices, matching product names that differ between systems, spotting a pattern that does not fit normal demand, or reading photos or text on a listing.

Be wary of anyone who sells AI for something a simple rule would do. Cheaper and more reliable is better.

Alerts people act on

The point of monitoring is action. Decide in advance what happens for each alert and who owns it. An alert that says 'stock is low' is useful. An alert that says 'stock of item X will run out in six days at the current rate, usual supplier lead time is nine days' is better, because it tells you what to do.

Start small

Choose one product line or one supplier. Connect the data, set up two or three alerts, and run it next to your current method for a month. Compare what the system caught with what you caught. If it saves time or prevents a stockout, extend it.

Monitoring like this is part of our AI integrations work, and it can connect to your existing inventory or accounting system.
