Replacing Spreadsheet Quoting Step by Step

Quoting6 min readBy Team

Many service businesses quote from a spreadsheet that one or two people understand. It works until that person is on leave, the file gets copied three times, or a customer waits two days for a number. Moving quoting into proper software is not a huge project if you do it in the right order. Here is the order.

Write down the rules

Before any tool, write your pricing logic in plain sentences. Look at ten recent quotes and ask how each number was reached. You will find a base price, some factors that raise or lower it, and a few exceptions that live only in someone's head.

Say a cleaning company charges by room count, adds an amount for pets, and has a minimum charge. Those three rules are enough for a first version. The exceptions can wait.

Pick one job type

Do not try to cover every service on day one. Pick the job you quote most often. Build that well, and let the team keep using the spreadsheet for the rest. A small tool that works is better than a large one that is never finished.

Check it against real quotes

Run your last twenty quotes through the new tool and compare. Where the numbers differ, one of two things is true: the tool is missing a rule, or the old quote was inconsistent. Both are worth knowing. Fix the tool where it is wrong. Where the old quote was off, decide what the right price should have been.

  • Keep a record of every quote, who made it and what inputs were used.
  • Let a person review quotes that fall outside normal ranges.
  • Make it easy to change a rate in one place, not in twenty cells.

Let customers use it

Once your team trusts the numbers, you can put the same logic in front of customers as a short form that shows a price. That is a separate step and a separate decision, and some businesses keep it internal. Either way, the quote is faster, consistent and saved in one place.

This is the kind of tool we build under software solutions. You can also read about when to replace spreadsheets with software.
